Building a Finance Platform for Hospitality Growth

For almost two decades, Beannchor had relied on Opera from Pegasus Software, alongside Xero for some smaller entities. However, increasing transaction volumes and growing operational complexity were placing mounting pressure on these legacy systems, as well as the spreadsheets and manual processes needed to support them.

Managing nine different trading bank accounts, combined with high volumes of cash and credit card transactions, had become increasingly difficult. Manual bank feed processing was consuming substantial amounts of time, while convoluted reconciliation processes were becoming unsustainable.

Beannchor needed a modern finance platform that could support the business’s scale and complexity while creating a more consistent, connected, and automated way of working across the group.

With 50–60 outlets, we process millions of transactions every year. After evaluating Microsoft Dynamics, NetSuite and Sage Intacct, Beannchor was immediately impressed by Sage Intacct’s modern user experience, automation capabilities and intelligent financial management functionality.

Creating Finance Process Fluency

Before Sage Intacct, finance processes across entities were rarely synchronised. Different close periods, inconsistent journal structures and disconnected systems meant intercompany accounts had to be manually stitched together each month.

Reconciliation was time-consuming, errors were common and producing consolidated accounts was a painful process.

For example, employees frequently worked across multiple venues, requiring manual adjustments to payroll and journal allocations between entities. The lack of consistency across systems created unnecessary complexity and meant month-end reporting was never fully aligned.

By leveraging the API integration framework within Percipient Cloud Connect, Sage Intacct now integrates all entities seamlessly, automatically mapping codes and posting inter-entity journals in real time.

The result is a fully connected finance environment with complete process fluency across the group.

The transformation has significantly streamlined month-end and consolidation activities. Automated workflows and predefined rules eliminate the need for repetitive manual intervention while ensuring consistency and accuracy at high transaction volumes.

Looking ahead, Beannchor plans to further modernise its technology ecosystem by replacing and fully integrating its Property Management System and EPOS platforms through Percipient Cloud Connect.

This will further improve both data quality and operational visibility, helping the business connect financial, operational and performance data across the group.

Beannchor has also recently launched an AI scoping project, leveraging a third party, Nectari BI, alongside a dedicated AI team to explore how intelligent automation and predictive insights can further enhance operational performance and decision-making.
